SUMMARY
The executive assistant provides executive level administrative support.  The position is the point of entry representative of the executive to contacts from within and outside of the company.
 

 

Job Requirements

ESSENTIAL FUNCTIONS

• Assist with the development and implementation of systems and procedures addressing the administrative requirements of the company.

• Development of presentations, reports and proposals for a variety of audiences and recipients.

• Assist with Contracts, PO’s and Change Orders

• Keeps a record of all document, updates, and maintains a built plans & O&Ms, distributes transmittals or other correspondence from trades & governmental authorities

• Schedule and coordinate executive meetings, staff meetings and conference calls, and distribute materials pertinent to the event.

• Coordinate travel and calendar activities.

• Review expense reports submitted for the executive’s approval.  Research items submitted that are outside of company policy for business expense.

• Perform routine office management duties as required including responsibility for incoming calls and mail.

• Perform other duties as assigned.

QUALIFICATIONS

EDUCATION AND EXPERIENCE
Associates degree with a Business emphasis.  Knowledge of or working experience in the real estate industry preferred.  Experience providing administrative support at the executive level preferred.  

JOB KNOWLEDGE AND SKILLS
Strong capabilities in software applications including, Word, Excel, Access, Power Point, Act, e-mail and electronic calendar maintenance.  Must have exceptionally strong spreadsheet manipulation skills.  Excellent written and verbal communication skills required.

PHYSICAL REQUIREMENTS
The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of the job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

The work is considered light in physical demand.  Must be able to sit up to eight hours a day with occasional standing and walking.  Must have close and distance vision and be able to adjust focus.  Must be able to reach forward, grip to lift and finger for keyboarding. Will seldom stoop, bend, or kneel.  May be required to occasionally lift and carry up to twenty pounds.  May be required to travel independently locally or long distances in the performance of job duties.

COGNITIVE REQUIREMENTS
Must be able to communicate effectively, verbally and in writing, with top management on complex subjects.  Must be able to work with non-verbal symbols.  Must be able to maintain concentration with an average amount of background activity and interruption.

ENVIRONMENTAL CONDITIONS
The environment is that common to an office setting with artificial lighting and climate control.
