JOB SUMMARY:

The Property Administrator assists in the day-to-day operations of the commercial real estate property management office. The Administrator serves as the primary liaison between tenants, property management and maintenance services, and assists the Property Manager with financial reporting.

ESSENTIAL JOB FUNCTIONS:

  • Processes invoices with batching into property accounting software on a defined schedule 
    • Prepares tenant rent billings, tenant bill backs and batch into property accounting software 
    • Rent collections 
    • Makes bank deposits following cash receipts journal posting procedures 
    • Posts rent payments to tenant ledgers on a defined schedule, batching into the property accounting software 
    • Prepares delinquency reports for the Property Manager 
    • Assists with vendor management, including set up and tracking 
    • Assists with reviewing and abstracting lease documents 
    • Enters lease information into property accounting software 
    • Distributes monthly financial reports 
    • Maintains current rent roll 
    • Maintains current stacking plan 
    • Maintains purchase order tracking 
    • Assists with tenant inquiries, as well as move-ins and move-outs
    • Assists with building life safety fire drills and floor warden meetings 
    • Assists with customer service, daily operational issues, tenant inquiries, tenant move coordination, office organization and tenant visits 
    • Performs other duties as assigned
 

Job Requirements

SKILLS AND ABILITIES:

  • Effective communication and customer service skills
  • Knowledge of local, state and federal laws governing tenant/landlord relations highly preferred
  • Ability to communicate effectively with external customers and internal customers at all levels throughout the company
  • Basic computer skills in a Windows environment
  • Data processing, clerical/administrative, equipment operation experience required
  • Microsoft Office Suite experience required; strong Excel skills highly preferred

EDUCATION /EXPERIENCE:

  • High School diploma or equivalent; Bachelor's Degree is preferred
  • Real estate management/property management experience preferred
