Job Summary:

The Service Administrator provides operational support and is accountable for delivering on Pinnacle’s commitments to residents, future residents and vendors for a multi-faceted property with a focus on the maintenance and physical condition of the asset. The Service Administrator ensures a timely and attentive response to resident needs regarding the maintenance of their home and the community. Responsibilities include overseeing the make ready process, completing daily inspections of buildings, landscaping, and amenities; ensuring an exceptional move-in experience and assisting with maintenance staffing and purchasing needs. The Service Administrator is instrumental in helping Pinnacle deliver superior customer service to our residents.

ESSENTIAL FUNCTIONS:

  • Coordinate and schedule the make ready process for all vacant/not ready apartments; which includes walking apartments, scheduling vendors and performing quality control inspections
  • Prepare and maintain make ready board and update make ready dates in computer software
  • Monitor service requests to ensure 24-hour completion time in accordance with Pinnacle guidelines
  • Perform resident follow-up for escalated service requests. Ensure leasing staff completes regular follow-up on standard requests.
  • Maintain a positive living environment for community residents through prompt conflict resolution and consistent follow-up
  • Enter purchase orders for all scheduled make ready and maintenance supply related invoices
  • Process maintenance related invoices daily/weekly
  • Coordinate and schedule monthly safety meetings and preventative maintenance walk with maintenance supervisor
  • Coordinate and perform monthly maintenance shop inspections and annual shop inventory
  • Inspect exterior grounds daily to ensure the overall upkeep of the property landscape and exterior aesthetics
  • Coordinate with Property Manager and Construction Services on renovation efforts
  • Reports any maintenance issue that affect the budget such as life safety, vacant repairs, property damages and common-areas needs to the Property Manager and Maintenance Supervisor
  • Provide superior customer service and represent Pinnacle in a professional manner at all times.
  • Consistently maintain a professional, courteous attitude when dealing with residents, co-workers, vendors and the general public.
  • Achieves high productivity through reliable and punctual on-site attendance, and timely reports any tardiness and/or attendance issues to immediate supervisor.
  • Perform any other related duties as required or assigned
  • Dresses per Pinnacle uniform standards

EDUCATION /EXPERIENCE:

  • High School diploma or equivalents, prior leasing experience and/or Bachelor’s degree is preferred
